At BotTasker, we take your privacy seriously. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website or use our AI-powered workflow automation platform. Please read this privacy policy carefully. If you do not agree with the terms of this privacy policy, please do not access the site or use our services.

2. Information We Collect

We collect information that you provide directly to us when you register for an account, create or modify your profile, set preferences, sign-up for or make purchases through our services. This information may include your name, email address, billing information, and any other information you choose to provide.

When you use our services, we automatically collect certain information about your device and usage of the services. This might include your IP address, browser type, operating system, referring URLs, access times, and pages viewed.

Data From Google Services

If you choose to connect your Google account to BotTasker (for example, to enable integrations with Gmail or Google Calendar), we may access certain data from your Google account strictly as required to provide the functionality configured by the user.

This may include:

• Email address associated with the Google account
• Email metadata or message content when the user configures Gmail automations
• Calendar events when the user configures Google Calendar automations

Authentication is performed securely using Google's OAuth 2.0 protocol. BotTasker does not request or store Google account passwords.

We use the information we collect to:

1. Provide, maintain, and improve our services
2. Process transactions and send related information
3. Send administrative messages, updates, security alerts, and support messages
4. Respond to your comments, questions, and requests

4. Data Security

We have implemented appropriate technical and organizational security measures designed to protect the security of any personal information we process. However, despite our safeguards and efforts to secure your information, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure.

5. AI Agents and Your Data

Our platform uses AI agents to automate workflows. These agents process data according to the workflows you design. We implement strict data handling protocols to ensure that your data is processed securely and in accordance with your instructions. AI agents only have access to the data necessary to complete their assigned tasks within your workflows.

6. Third-Party Services

Our services may contain links to other websites and services. If you choose to click on a third-party link, you will be directed to that third party's site. We strongly advise you to review the Privacy Policy of every site you visit. We have no control over and assume no responsibility for the content, privacy policies, or practices of any third-party sites or services.

7. Use of Google User Data

Data obtained through Google APIs is used exclusively to provide the functionality requested by the user within the BotTasker platform, including:

• Sending or reading emails through automated workflows
• Creating or managing calendar events
• Executing user‑configured workflow automations

BotTasker does not sell, rent, or share Google user data with third parties for advertising or marketing purposes.

Information obtained from Google APIs is used only to provide user‑facing functionality within the BotTasker platform.

BotTasker does not use Google user data to develop, improve, or train generalized artificial intelligence or machine learning models.

Our use of information received from Google APIs complies with the Google API Services User Data Policy, including the "Limited Use" requirements.

8. Data Retention and Deletion

BotTasker retains data only for as long as necessary to provide the services requested by the user.

• Data associated with active integrations is retained while the user account remains active and the integration remains connected.
• If the user disconnects their Google account from the integrations settings, the related access tokens and associated data are removed from active systems.

Users may request deletion of their data through the following methods:

1. Disconnect their Google account from the integrations settings.
2. Delete their BotTasker account.
3. Send a deletion request to [email protected].

Upon receiving a deletion request, OAuth tokens associated with the integration will be revoked and related data will be permanently deleted from active systems within 30 days, unless retention is required for legal or security purposes.

9. Tasky in ChatGPT and Codex

When you connect Tasky, you authorize ChatGPT or Codex to request BotTasker tools through OAuth. The connection is bound to your user, the selected organization, and the permissions you grant. You can revoke it from BotTasker's MCP connections. Revocation prevents new authorized requests through that connection; it does not delete records you created or results already shared.

Data and purpose. BotTasker receives the arguments of the tools you request and processes the resources needed to respond or perform the action: for example, user, organization, and app identifiers, app names and configurations, CRM data, records, forms, documents, or message content, depending on the feature used and your permissions. Tool responses are returned to OpenAI to display them and continue your task in ChatGPT or Codex. Your full chat history is not automatically transmitted to BotTasker. Do not enter passwords, API keys, verification codes, government identifiers, payment card data, or protected health information in tool arguments.

Recipients. In addition to OpenAI, BotTasker's infrastructure providers process the data needed to host and operate the service. If you authorize publishing a resource, sending a message, or running an integration, the corresponding data may also reach the recipients, external services, or public audience determined by that action. Connection permissions and your organization's permissions continue to limit available operations.

Authentication and security. Authorization takes place in BotTasker; tools do not request your BotTasker password or integration secrets. Basic access permits reading and reversible changes. Executions that may overwrite, delete, send information, or have other irreversible effects require the corresponding additional permission and remain subject to the operation's controls. For security and auditing, BotTasker records the tool, user and organization, input field names, request outcome, date, and technical metadata such as IP address, user agent, and connection and request identifiers.

Retention and controls. Resources created or changed remain in your organization until you delete them or request deletion under section 8. Disconnecting Tasky does not delete them or withdraw published resources or messages already sent. Authorization and audit records are used to control access and investigate errors or incidents, and are subject to the deletion procedure and legal or security exceptions in section 8. You can request access or deletion at [email protected]. Results already received by OpenAI are managed through ChatGPT or Codex controls and policies; deleting data in BotTasker does not automatically delete those copies.

10. Updates to This Privacy Policy

We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the "Last Updated" date. You are advised to review this Privacy Policy periodically for any changes.
